Guest Management

The “Guests” tab in the Admin Console allows you to efficiently manage guest information for selected events. Here’s how to add guests using a CSV file: 

  1. Select Event
  • Use the dropdown menu at the top of the “Guests” tab to select the specific event for which you want to manage guest information. This ensures that the guests you add are associated with the correct event. 
  1. Download CSV Template
  • Before uploading guest information, you must download the CSV template. There are two options available: 
  • Download Template with all fields: This template includes all possible fields for guest details. 
  • Download Template with required fields only: This template includes only the essential fields necessary for uploading guest data. 

The downloaded CSV template will include the following columns: 

  • First Name 
  • Last Name 
  • Room Number 
  • Floor 
  • Check-in Time: Format should be (DD/MM/YYYY HH AM/PM) 
  • Check-out Time: Format should be (DD/MM/YYYY HH AM/PM) 
  • Title (Salutation) 
  • Guest Suite 
  • Room Type 
  • Type 
  • Image 
  • Remarks 

Important Notes

  • The format of the columns (e.g., spacing, upper/lower case) in the CSV template cannot be altered. This includes the exact naming of columns like “checkinTime.” 
  • The “image” column can be left empty in the CSV file. You will have the opportunity to upload guest images in the next step through the dashboard. 
  1. Upload CSV File
  • After filling in the guest details in the CSV template, save the file and click the “Upload New CSV File” button to import the data. Ensure that the file format is identical to the template provided to avoid any errors during the upload process. 

After uploading your CSV file with guest details, the platform will display a summary of the data and allow you to make final adjustments before confirming the upload. Here’s what you need to know: 

  1. Review Uploaded Data
  • You can see all the guest entries along with their details such as name, salutation, guest type, and vehicle number. 
  • Once you upload the CSV file, the system will scan the file for any errors and display the guest data on the screen. 
  1. Error Handling
  • If there are any errors in the data, they will be highlighted in red. Errors could be due to incorrect data formats, missing required fields, or other discrepancies. 
  • At this stage, you have a few options: 
  • Edit Individual Guest Information: Click on any guest entry to edit their details directly within the platform. This is useful for making quick corrections. 
  • Reupload the CSV: If there are multiple errors, it might be easier to correct them in the CSV file and reupload it. The system will re-analyze the data after each upload. 
  1. Editing Guest Details

     
  • You can edit guest details such as their salutation, first name, last name, tags, guest type, vehicle number, and driver’s name, preferences. 
  • Additionally, you can upload or update the guest’s image. This can be done by either providing a URL or uploading a file directly from your device. 
  1. Proceeding with Valid Guests
  • If you choose not to reupload the CSV, you can proceed to upload only the valid guests. The platform will exclude any entries with errors. 
  • Click “Upload Guests” to finalize and add the valid guest entries to the event.
