Event Management

The “Event Management” tab in the Admin Console allows you to oversee all events associated with your organization, including active and past events. The system automatically categorizes events based on their start and end dates. Here’s how to navigate and manage events: 

1. Viewing Events 

  • When you access the “Event Management” tab, you will see a list of events categorized into three sections: Active Events and Past Events
  • Active Events: These are ongoing or upcoming events. An event remains active until its end date. 
  • Past Events: Events that have concluded based on their end date automatically move to this section. 

2. Editing an Event 

  • To make changes to an existing event, click on the “Edit Event” button within the event card. This opens a form where you can update various details of the event.

  • Event Image: You can upload or change the image associated with the event, which is typically used for promotional purposes. 
  • Event Name: Update the name of the event if needed. 
  • Description: Modify the event description to provide more detailed or updated information. 
  • Event Location: Confirm or update the location where the event will take place. 
  • Event Status: Change the status of the event (e.g., Active, Inactive) based on its current state. 
  • Event Start Date and Event End Date: These dates determine when the event becomes active and when it concludes. Based on these dates, the event automatically moves between the active and past sections. 
  • Once all necessary updates are made, click “Save Changes” to apply the modifications. 

3. Adding an Event 

  • Click on the “Request for New Event” button located at the top right of the events page. 

Filling Out Event Details

  • A form will appear where you can input the details of the new event. 
  • Event Request Form
  • Event Image: Upload an image that represents the event. This could be a logo or a promotional image. The supported formats are SVG, PNG, and JPG, with a maximum file size of 1MB. 
  • Event Name: Enter the name of the event. This should be a clear and descriptive title that reflects the nature of the event. 
  • Description: Provide a brief description of the event. Include essential details that would help users understand what the event is about. 
  • Event Location: Specify the location where the event will take place. This should include the city and venue name, if applicable. 
  • Event Status: Set the initial status of the event (e.g., Active, Inactive). This determines whether the event is currently ongoing, scheduled, or paused. 
  • Event Start Date and Event End Date: Select the dates for when the event is scheduled to begin and end. These dates will determine when the event appears as active or past within the system. 

Submitting the Event Request

  • After entering all the necessary details, click “Request New Event” to submit the event for approval and scheduling. 
  • The new event will appear under the appropriate section (Active, Requested, or Past Events) based on its dates and status.
